Privacy Policy for Haro

1. Introduction

This Privacy Policy explains what information the Haro Discord application ("Haro") collects, how that information is used, and what rights you have regarding your data. It applies to every Discord server in which Haro is installed.

3. What Haro Does

Haro is a community-management application for Discord servers that play Gundam Evolution on community-operated game infrastructure. It lets members look up live custom match rooms, player records and queue status through slash commands; lets designated staff configure match rooms; mirrors active in-game rooms as Discord voice channels so players in a match can talk to one another; and performs automated anti-bot moderation.

4. Data Collection

Haro processes the following categories of information.

Discord data

  • Discord user IDs, usernames and server display names
  • Role assignments within the server, used to decide whether you are permitted to run a restricted command
  • Channel and server IDs
  • The number of people present in a voice channel
  • The content of messages, in the limited circumstances described in Section 5

Game data

  • In-game player IDs and in-game player names
  • Match records, including which players took part in a match and when it started and finished
  • Custom match room and game server state, such as room codes, map, region and player counts

Haro does not collect passwords, payment information, email addresses, IP addresses, or any government identification. It does not read your private conversations with other users, and it does not read direct messages.

5. Message Content

Haro reads the content of messages only in the following two situations, and in no others.

  • Support triage. In a small number of designated support channels, Haro checks incoming messages for specific keywords relating to technical faults. When a keyword matches, it replies once with a link to our bug-reporting guidelines. This reply is rate limited. The message is examined in memory, matched, and discarded. It is not written to any database.
  • Anti-bot moderation. We operate a clearly labelled "honeypot" channel that carries a pinned warning telling human members not to post in it. It exists to catch automated spam and scam accounts. When an account posts there, Haro removes that account from the server, sends it a direct message explaining what happened along with an invite to rejoin, and deletes messages it posted in the preceding hour. The text of the triggering message is reproduced in an audit entry posted to a private moderator-only channel so that a human moderator can review the removal and reverse it if it was made in error.

Outside these two cases, message content is neither read nor retained. All of Haro's other features are invoked through Discord slash commands.

6. Data Usage

Collected data is used solely to operate the features described in Section 3. Specifically, it is used to: verify that you hold a role permitting a restricted command; determine whether a mirrored voice channel is empty and may safely be deleted; display room, player and match information you have asked for; and carry out and document the anti-bot moderation described in Section 5. Your data is not used for advertising, profiling, or any form of automated decision-making beyond the anti-bot measure described above.

7. Data Sharing

We do not sell user data and we do not share it with third parties. Data is not transferred to any analytics, advertising or marketing provider. Information you ask Haro to display is shown in the Discord channel where you ran the command and is therefore visible to others who can see that channel.

8. Data Storage and Security

Discord-derived information, including member lists and role assignments, is held only in the application's working memory for the lifetime of the running process and is discarded when the application restarts. It is not written to disk.

Game data, as described in Section 4, is stored in PostgreSQL and Redis databases on a dedicated virtual private server managed by us. We apply standard security practices to protect it, including restricted network access and access controls limited to server administrators.

Moderation audit entries remain within Discord, in a private channel visible only to server moderators, and are subject to Discord's own retention.

9. Data Retention

Discord-derived data in memory is retained only until the application next restarts. Game data is retained for as long as the service operates, plus up to a further 90 days following termination of the service. You may request earlier deletion of your data by contacting us.

10. Your Rights

You have the following rights regarding your data:

  • Access: request a copy of all information we hold about you.
  • Correction: request correction of any inaccurate information.
  • Deletion: request deletion of your information.

11. Children's Privacy

Haro is not directed at children. Discord requires all account holders to be at least 13 years old, or older where local law sets a higher minimum age. We do not knowingly collect information from anyone below that age. If you believe a child has provided us with information, contact us and we will delete it.

12. Third-Party Services

Haro operates on the Discord platform and necessarily exchanges data with Discord in order to function. Your use of Discord is governed by Discord's own Privacy Policy. We use no other third-party service to collect user data.

13. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we make material changes, we will announce them in the servers where Haro is installed and update the effective date at the top of this page.
